Executive Assistant

Wine Enthusiast Companies headquartered in Westchester County, NY is seeking an experienced Executive Assistant to join their team.

The Executive Assistant reports directly to the CEO in a one-on-one working relationship and at times is called upon to perform administrative duties for our executive management team. The person we are seeking is professional, highly organized, works with confidence and is capable of communicating effectively and professionally with a wide range of external and internal contacts.

The main responsibilities of this position include managing corporate travel, setting up meetings, handling executive lunch orders, protocol communications, management of office supplies, internet research, and assisting with data entry projects.

The successful candidate will have experience with all the aspects of making both domestic and international travel arrangements. As well, possess strong computer and Internet research skills, flexibility, excellent interpersonal skills, project coordination experience, and the ability to work well with all levels of internal management and staff, as well as outside clients and vendors. Sensitivity to confidential matters is also a requirement.

Tasting Coordinator

Wine Enthusiast Magazine’s Tasting and Review Department is seeking an experienced professional to join its team. The ideal candidate will possess intermediate wine knowledge (Intermediate WSET certification preferred), plus additional relevant industry experience (winery, retail, wholesale or restaurant) with broad exposure to many types and styles of wine, along with strong communication and computer skills. In addition to a myriad of administrative tasks, some of which are listed below, the successful applicant will be proficient in Microsoft software (Word, Excel, Outlook) and Web research, as well as be very detailed oriented, highly organized and capable of multi-tasking. Editorial experience and a familiarity of Adobe Creative Suite applications (InCopy, InDesign) a plus, and editorial contributions will be encouraged, so excellent writing ability is required. Outline of General Duties & Responsibilities include:

  • Continuously update tasting and review database:
    • Enter new wines.
    • Update publication dates.
    • Maintain accuracy of submitter information.
    • Furnish monthly Buying Guide reports to Sales team.
  • Maintain tasting room and supplies.
  • Manage bottle inventory:
    • Keep bottles organized and tagged.
    • Remove out of date wines.
    • Organize flights for in-house tastings.
    • Help reviewers meet their scheduled workloads and deadlines.
  • Investigate data not provided by reviewers/submitters:
    • Determine pricing, appellation, grape variety, etc.
  • Interface with submitters:
    • Handle initial queries.
    • Provide submission forms and schedules.
    • Answer initial and follow-up queries.
    • Request bottles for tastings and photography.
  • Assist with other Tasting & Review issues as needed.

Advertising Services Coordinator

Our Magazine Division is seeking someone who will provide administrative sales and production support to individuals within the Advertising department as well as in coordination with other departments. The position entails being the “go to” person for managing the cycle of ads published with Wine Enthusiast Magazine, both digitally and in print.

In order to be successful in this role you need to have impeccable interpersonal and communication skills, be highly organized, be attentive to details, and able to work on multiple projects at once all while maintaining a high level of awareness with client activities.

The Coordinator will assist in the day-to-day administration of marketing, public relations and advertising.

Although varied, some of the main responsibilities will include: building relationships with clients; coordinating advertising with marketing teams and developers; scheduling ads with various staff and teams; supporting all team members; maintaining accurate client records; coordinating with the financial department; and maintaining a professional demeanor while adhering to all deadlines. Specific tasks & responsibilities will be discussed during the interview process.

Qualifications required:

  • Minimum 1 year experience in a professional business environment ideally in Sales and or Advertising
  • Minimum BA/BS degree, a Marketing concentration would be a plus
  • Extensive computer skills, especially Microsoft Office applications [Excel, Word, PowerPoint, outlook]; Sales Force, InDesign and Adobe Photoshop desirable, internet research

Senior Digital Editor

Wine Enthusiast Companies is seeking a Senior Digital Editor to join their Magazine’s Editorial department working on site at their Westchester County offices in New York

Required Experience & Skills

  • Minimum of 4 years of editorial experience, writing and editing lifestyle, wine, food, travel and cocktail online content.
  • Intermediate to advanced wine knowledge is a must (WSET-certified is preferable)
  • Experience with creating and maintaining daily Web edit calendar, managing writers, and working in a fast-paced environment
  • Must be digitally savvy, i.e. knowledge of Web site trends, Webinars, Podcasts, etc.
  • Ability to compile data and analytics, i.e. SEO, Google Analytics, Chartbeat to create content strategy
  • Ability to coordinate with social media team to generate and produce time-sensitive articles
  • Knowledge of WordPress programing and general Web site maintenance.
  • Fluency in Adobe Creative Suite: InDesign, Photoshop, InCopy, etc.
  • Experience with basic photo research
  • BA in Journalism or related degree

The Senior Digital Editor will be responsible for generating wine news, trends and lifestyle articles as well as travel, food and spirits features for the magazine Web site Winemag.com, and shepherding those stories through the editorial process. He or she will continually hone his/her writing and editing skills on the most competitive level and will be responsible for staying on top of trends and cutting-edge editorial approaches in the digital space.

This position reports directly to the Digital Managing Editor. They will work together to create a daily and monthly editorial calendar, produce newsletters and manage a network of freelance writers; coordinate with the Social Media Coordinator on social efforts; collaborate with the art department on Web site aesthetics and photo sourcing; and work closely with the Assistant Digital Editor to program and maintain the Web site with current and timely articles.

Tasting Department Internship Opportunity

Are you crazy about wine? Love learning about different wine-producing regions? Is your idea of a fun Friday night tasting through and dissecting Cabernet Sauvignons from various parts of the world? We are looking for an educated and passionate wine-lover to join our Tasting department team in an internship-based position that offers serious perks for any true wine enthusiast.

The successful candidate will possess basic wine knowledge (Intermediate WSET certification preferred), be proficient in Microsoft software (Word, Excel, Outlook) and Web research, be very detailed oriented, highly organized and capable of multi-tasking. Good communication skills are a must and database experience is a plus.

Main responsibilities include database entry and maintenance, mostly through the logging and organization of wines. Additional tasks of setting up tastings and obtaining contact information may occur. While performing these tasks you will have the ability to learn a ton about various wine-producing countries and regions throughout the world and taste many international wine selections on a consistent basis.

An unmistakable interest in and passion for wine is a must for this Internship. Interested applicants must be available to work three days a week, preferably Tuesday-Thursday, from 9:30 am to 5:30 pm, in our Mount Kisco office.

Advertising & Marketing Services Intern

Wine Enthusiast Companies is a prominent multi-channel marketer of a growing line of products that satisfy, inform, enrich, entertain and inspire. The Wine Enthusiast Magazine is the world’s largest periodical devoted exclusively to the wine and spirits lifestyle, publishing 13 issues a year.

Currently, Wine Enthusiast’s Magazine is seeking an individual with administrative experience who would like to spend the summer with our Sales & Advertising division as their Advertising & Marketing Services Assistant.

This position calls for an individual who communicates well, is organized, detailed and thorough and is able to meet deadlines. Also important is having experience working with spreadsheets and performing data entry.

The Advertising & Marketing Services Assistant will report to the Sales Marketing Director and will learn about and have the opportunity to carry out a variety of marketing tasks as it pertains to the world of publishing. The following is a list of some of those tasks:

  • Assist with database entry
  • Provide sales analytics, custom reports/summaries as needed
  • Assist advertising sales team with competitive & in house research
  • Assist advertising sales team with the coordination of campaigns & proposals
  • Provide support for the coordination of the 2016 Media Conference
  • Coordinate and email monthly magazine sell sheet
  • Update monthly print and online Comp List
  • Pulling ad’s and updating magazine “Wall”
  • Help with the updating of the 2017 print and digital media kits
  • Provide support for in-house client lunches

  • Support the Sales & Marketing team with any additional projects as needed
