Executive Assistant

Wine Enthusiast Companies headquartered in Westchester County, NY is seeking an experienced Executive Assistant to join our team.

The Executive Assistant reports directly to the CEO in a one-on-one working relationship and at times is called upon to perform administrative duties for our executive management team. The person we are seeking is professional, highly organized, works with confidence and is capable of communicating effectively and professionally with a wide range of external and internal contacts.

The main responsibilities of this position include managing corporate travel, setting up meetings, handling executive lunch orders, protocol communications, management of office supplies, internet research, and assisting with data entry projects.

The successful candidate will have experience with all the aspects of making both domestic and international travel arrangements. As well, possess strong computer and Internet research skills, flexibility, excellent interpersonal skills, project coordination experience, and the ability to work well with all levels of internal management and staff, as well as outside clients and vendors. Sensitivity to confidential matters is also a requirement.

Work will be performed at our headquarters located in Valhalla, NY. Creative Services Director

Wine Enthusiast Magazine, the publishing division of Wine Enthusiast Companies, is seeking a Creative Services Director to become part of our great Sales and Marketing team. This full time position will work at our headquarters in Valhalla, NY which offers an onsite gym and café as well as a shuttle service for train commuters and covered parking.

The Creative Services Director is responsible for all forms of design, marketing, promotion, and implementation of marketing strategies to support the Wine Enthusiast Media brand.  Projects include working with the sales team and clients on creative work, including print advertorials in the magazines, marketing collateral, pitch decks, online assets, email campaigns and other related projects as needed. In order to meet the desired outcomes it absolutely necessary the Creative Services Director be an effective communicator.

These are the areas which you will need fortes in:

  • Creativity: inventing new ideas for branding, advertising campaigns and marketing messages with a keen understand of design and smart copy that will result in a fresh approach to advertising the Wine Enthusiast Media brand.
  • Analytical: Since advertising and marketing is ever evolving, the Creative Services Director is responsible for analyzing trends, looking at new data and keeping up with the times.
  • Decision-Making: Advertising campaigns have timelines, and the Creative Services Director along with the Sales marketing Director will be making decisions on final copy and final art for all creative created by Wine Enthusiast Media.
  • Interpersonal Skills: While interacting with Wine Enthusiast associates you may be called upon to meet with corporate heads and outside clients. It is required professional behavior and appropriate communication skills be maintained at all times.
  • Management Skills: Prioritizing and being organized are key to keeping the many creative projects, running simultaneously, on schedule to meet deadlines.

Here are some of the ways the above will be utilized:

  • Inform respective functional groups of any revisions to project timelines if dates are in jeopardy.
  • Oversee each phase of the internal and external approval process: including the approval of copy, layouts, final artwork, proofs and printed samples.
  • Manage production schedules and creative output to support launch dates of seasonal marketing materials.
  • Partner with the Magazine Design team to ensure that our creative assets remain leading edge and ahead of our competition.
  • Ensure that a high quality of creative and production is upheld, maintaining consistently high standards for the team.
  • Deliver strategic communication solutions that help the brand attain the marketing and communications objectives.

Podcast Producer – Wine Enthusiast Magazine, Contract/Freelance 

Wine Enthusiast Media seeks an experienced freelance audio and podcast producer to lead the development and production of our original bi-weekly podcast program, now in its second year. This is an approximately 20-hour-per-week project and offers the chance to refine a popular product for our national media brand, managing the product from start to finish.

The Podcast Producer will be responsible for the nuts and bolts of production, from shaping the episodes and transforming our wealth of print journalism into original storytelling, to final scripting and audio editing. The Podcast Producer will liaise with the Digital Content Director and other staff editors based in our Valhalla, NY office. 

Responsibilities include:

  • Creating an overall unique and recognizable aural identity for the podcast.
  • Producing 2 complete podcast episodes per month and publishing the completed episodes to various podcast distribution networks.
  • Coaching and working hand-on with hosts and contributing editorial guests, including collaboration in the shaping of stories and features.
  • Facilitating monthly pitch meetings, and weighing in on which story pitches are selected and how each episode will be structured.
  • Writing host scripts for each episode (e.g. a top-of-the-show billboard, intros/outros to show segments, segues between segments, closing credits).
  • Provide monthly analytic data per episode along with a monthly summary of this data and recommendations for improvement based on the data.
  • Assess current field recording equipment, and suggesting improvements.

The ideal producer will be available/amenable to in-person meetings in our Valhalla, NY offices for technical consulting, recording services, and other needs that might arise.  Where travel is necessary, expenses will be reimbursed. Attention to project details, a sense of urgency and deft reaction to the exciting but dynamic podcast environment are essential.

Housewares Merchant 

Wine Enthusiast, the world’s number one source for wine storage, glassware and wine décor, is seeking a new product development merchant to create exciting Glassware & Housewares for E-commerce and catalog. 

The successful candidate will be a “creative thinker” with a track record of numerous successful product launches in the homewares, tabletop and décor industry.  The ability to collaborate with a team and confidence in making product presentations.  Excellent sense of design and the ability to pivot and multi-task.

Essential Responsibilities include but are not limited to:

  • Create merchandising assortment and strategies for the B to B and B to C divisions, with excellent margins and mass appeal.
  • Sourcing via Factory visits, Trade Shows and competitive market research
  • Collaborate with management on the development and execution of merchandising, pricing and promotion.  Comfortable with the full suite of Microsoft Office – particularly power point and excel.
  • Partner with inventory planning to determine buys and rebuys and forecasting.
  • Initiate and generate business analysis to track selling, identify key trends and maximize opportunities in the assortment in order to achieve continued growth and profitability of the Retail and B to B divisions.

Must Have Qualifications:

  • 5-7 years professional experience in merchandising (buying, sourcing, trend analysis, etc.)
  • Bachelor’s degree required
  • Willingness and ability to travel domestically and overseas

Must Have Characteristics:

  • Strong organization skills; able to manage multiple projects simultaneously
  • Natural collaborator able to work across different teams as well as directly with customers
  • Able to gather, analyze and report sales data

Buying Guide Coordinator

Wine Enthusiast Magazine, the publishing division of Wine Enthusiast Companies, is growing and is in need of adding a Buying Guide Coordinator to the Sales and Marketing team. This full time position includes a base salary, commissions, a bonus plan, benefits and growth potential. The successful candidate will have:

  • One to three years’ experience as a digital & print ad sales representative.
  • A strong knowledge of publishing/media industry.
  • A proven track record in achieving/exceeding advertising sales goals.
  • Good word processing and electronic communication skills. Any work in CRM data management systems is a plus i.e. NetSuite, Salesforce.com.
  • Excellent oral and written communication and interpersonal skills with the ability to interact successfully with clients and advertising agencies at all levels.
  • A willingness to help our team with additional administrative duties if asked.

In addition this position calls for someone who:

  • Is self-motivated, organized and entrepreneurial by nature. A self-starter, dynamic and results oriented all while working in a team environment.
  • Can consistently demonstrate the values of the Advertising department’s culture of success.
  • Will be the primary contact for clients, sales staff and the printer for the buying guide program.
  • Must demonstrate a strong and effective ability in prospecting, negotiating and closing.
